The Silent Killer of HR Projects

Walk into most Kenyan companies and you’ll find a graveyard of unused software. Licenses paid, servers humming, dashboards glowing – yet the only thing growing is the renewal invoice. WhatsApp: The HR Tool Hiding in Plain Sight

Market penetration: 97 % of Kenyan smartphone users open WhatsApp at least once a day (GeoPoll, 2023). That is higher than bank apps, higher than email, higher than Facebook. When we conduct stay-interviews or mood pulses, we meet staff where they already are.

How We Use It

  • One-to-one chats: Off-site, no manager, no voice recording. We simply ask: “On a scale of 1–5, how likely are you to recommend this place to a friend?” The reply comes back in seconds.
  • Broadcast lists: We send weekly one-word mood prompts (“Happy? Tired? Frustrated?”). Replies auto-feed into an Excel log via free API connectors like Twilio or Ultramsg.
  • Policy cheat-sheet: A 160-character summary of the top three policies (tips, leave, discipline) sent as a favourite message staff can forward.
  • Voice notes for non-readers: Factory lines with gloved hands prefer 30-second voice replies; we transcribe later.

Security & privacy

  • No personal IDs stored in chat.
  • Chats disappear after export.
  • End-to-end encryption meets Data Protection Act 2019 requirements.

Result: Elgon Cafe achieved a 93 % response rate in week 1; previous email surveys never topped 27 %.


Excel: The Dashboard You Already Own

Blasphemy in the age of Power BI? Perhaps. But Excel is still the most installed software on Earth – and every finance team already owns a licence.
